Job Description–Administrative Assistant for Lifelong Learning


Title–Administrative Assistant

Summary–The Administrative Assistant for Temple Beth El’s lifelong learning department provides administrative support for educational programs for children, youth, and adults.

Responsibilities include but are not limited to scheduling appointments, processing school staff paperwork, coordinating programs, taking RSVPs, and responding to the needs of teachers, parents, students, congregants, and staff.  The hours are limited to 25 per week and fall within the hours that school is in session, including Sunday mornings and Wednesday afternoons.


With nearly 600 member families, Temple Beth El has a vibrant program of religious, spiritual, educational, social, social action and support activities.  Temple Beth El is affiliated with the Union for Reform Judaism, which represents the liberal tradition of Judaism. As a house of worship, a center of teaching and learning and a place of communal fellowship, the Temple’s progressive voice is heard and respected not only in Madison, but also throughout Wisconsin.

The Temple Beth El Religious and Hebrew School has close to 200 students. Adult education sessions are held several times throughout the year and include weekend scholar-in-residence, one-hour sessions, and a series of classes on diverse topics.


  • Coordination of the school registration process
  • Coordination of special school programs
  • Administrative liaison between school staff, students, and families
  • Administrative support for staff and committees
  • Provide communication support for committees and programs that require collateral materials including flyers, email blasts, and display ads



The successful candidate will have the following education, experience, and attributes:

  • High level of proficiency with Microsoft Office
  • Experience in human resources, office management, school administration, and/or customer service industry
  • Strong attention to details
  • Demonstrated ability to learn quickly, create effective systems/processes, juggle multiple tasks, and adhere to deadlines in a lively, fast-paced work environment
  • Strength in maintaining confidentiality
  • Friendly attitude and professional telephone demeanor
  • Problem-solving abilities, including anticipating needs of others
  • Excellent customer service skills
  • Familiarity with Jewish customs a plus.

Special Considerations

This is a maximum 25-hour per week non-exempt position.  When school is in session, the scheduled hours include Wednesday evening until 6:30 pm and Sunday mornings 9:00 am – 12:00 pm.
